On Dot Couriers — Complaint letter for Loss of original documents and also the financial loss suffered due to your unprofessional service

We the Proprietary firm of Chartered accountants would like to draw your attention to the unsatisfactory courier service by your company On Dot Couriers & Cargo Ltd, booking branch Kalyan-Madhu courier service. We on behalf of our client LAABH FOUNDATION (NGO, Charitable trust) had used your courier service to send original legal documents for Trust Registration (Details of Documents send by courier is as follows) from Kalyan to Pune income tax department (Address Pratvaksha kar Bhavan, Dr. Ambedkar Marg, Near Akurdi railway station, Pradhikaran, Pune 411044 ) vide reference number[protected]as enclosed) on January 02, 2015 Details of original Legal documents send by courier: 1) Trust Formation Deed & Supporting documents required for registration 2) Application through from no. 10A & 10G duly attested by the trustees 3) Attested copies of trust’s pan card along with Attested copies of all trustees with attested copy of address proof. 4) Original certificate from charity commissioner issued to a charitable trust (it took almost 3 months of follow up along with the expenses to get such certificate) 5) Original certificate of registration of society 6) And many other Ancillary documents On January 09, 2015 we contacted the office of On Dot Couriers & Cargo Ltd, kalyan branch to know the delivery status of the courier as there was no online status update available. The person on desk informed us that they had sent the document to Pune. From January 09, 2015 to February 05, 2015 we had time and again contacted Pune income Tax Dept about processing of the documents, but the documents could not be tracked because of which on February 06, 2015 we had visited Pune Income Tax Dept for the follow up of registration of documents send through courier. On our visit to pune Income tax Dept and after spending whole the day in search of documents, we came to know that they have not received any such documents. On February 07, 2015 when we again went back to the courier office in Kalyan to know the details of recipient of the courier, they informed us that the documents were not accepted at Pune dept and so they had brought back the parcel. It was highly unprofessional on the part of the head of kalyan branch courier office to not having us informed about the rejection of our original documents until we enquired them on February 07, 2015. Inspite of such unaccepted approach, we in quite polite manner asked them to return us the parcel of original documents. On which they said by Monday ie February 09, 2015 they will return as the parcel as they were unable to locate the documents on the said day. On February 09, 2015 when we again asked them for the return of documents from Mr Rajesh (Contact No . [protected]/ [protected]) he informed us that the rejected parcel are taken to Andheri Branch and on Tuesday ie February 10, 2015 he will visit Andheri Branch and bring the parcel of original documents and hand over the same to us. On February 10, 2015 in evening at 8pm when we again contacted Mr Rajesh for the same matter he said, he is informed that the parcel is transferred from Andheri Branch to Ghatkopar Branch. He assured us that on the immediate next day ie February 11, 2015 Wednesday he will be going to Ghatkopar Branch and by all means bring back the parcel and return us back. On February 12, 2015 morning 10.30am when we called Mr. Rajesh about returning the original documents, he informed us that he could not find the documents in Ghatkopar Branch also and in very unprofessional manner he said that they have lost the documents and they can’t do anything about it. We are in practice since last three years and had never seen any courier outlet for giving such unprofessional service. Because of your irresponsibility we are not only sorry to our client for your mistake but have incurred a huge financial loss along with delay in registration We would have got our registration done by mid of feb 2015, but now with whole new fresh application, we will get the registration by end of 2015. We trusted you and handed over the original documents but your unprofessional services of not giving importance to courier parcel lead the original documents misplaced. With very heavy heart we express our dissatisfaction to you, for your bad service and lack of professional co-ordinators
