HCL Technologies — Unresolved PF Transfer Claim Lack of Clarification and Request for Immediate Resolution

I am writing to formally escalate the prolonged delay and lack of resolution regarding my Provident Fund (PF) transfer claim from my previous employer to HCL Technologies. Despite following the instructions provided by the HCL PF team, raising grievances through the appropriate channels, and sending multiple emails, I have still not received a clear explanation or a resolution.

This matter has been pending for nearly two months, and the continued lack of accountability and clarity has caused me significant distress, particularly because I have been unemployed for the past six months and urgently need access to my accumulated PF savings for my basic living expenses.

Background and sequence of events

1. PF transfer claim initiated on 17 August 2026

As per my UAN records, HCL is my primary PF member account, while my previous employer's PF account is linked as a secondary account. Consequently, I need to transfer the accumulated PF balance from my previous employer's account to my HCL PF account before proceeding with withdrawal through the appropriate process.

As advised by the HCL PF team over the phone, I initiated the PF transfer claim online on 17 August 2026.

2. Transfer claim rejected by HCL without any reason

A few days after submission, the claim status changed to "Rejected by Current Employer." However, no reason for the rejection was provided in the status, leaving me unable to understand the issue or take corrective action.

3. Grievance raised and referred to Ms. Pragati Singh

I raised the issue through the HCL PF grievance channel and was advised to contact Ms. Pragati Singh at [protected]@hcltech.com for assistance with the PF transfer.

I subsequently sent her a detailed email requesting clarification on why HCL had rejected the claim.

In response, I was asked to provide Annexure X before she could explain the rejection. I clarified that the transfer claim status explicitly indicated rejection by the current employer, HCL, and that Annexure K had not been generated. I was then advised to raise the matter through the PF grievance portal.

4. EPFO grievance redirected me to HCL

I followed the instructions and raised a grievance through the EPFO grievance portal. However, the response stated that the claim had been rejected by my current employer and that I needed to contact HCL for clarification.

This left me in a circular process: HCL directed me to EPFO, while EPFO directed me back to HCL. Neither channel provided a clear reason for the rejection or a practical resolution.

5. Claim status subsequently changed to "Pending with Current Employer"

After approximately a month, I checked the claim status again and found that it had changed to "Pending with Current Employer."

I sent several follow-up emails to Ms. Pragati Singh seeking clarification and assistance, but I did not receive a response to those follow-ups.

When I initiated a new email thread, I again received a request to provide Annexure X.

Based on the information available to me, I understand that the current employer must first process and approve the transfer claim, following which EPFO reviews the claim and generates the relevant annexure or transfer documentation. If this understanding is correct, asking me to provide a document that has not yet been generated does not help resolve the pending employer approval.

I therefore request HCL to clarify the exact procedural requirement applicable to my claim and take the necessary action from its end.

Impact of the prolonged delay

I have been struggling to resolve this matter for nearly two months, despite complying with the instructions given by the HCL PF team and the EPFO grievance channel.

I am currently unemployed and have been without a job for the past six months. My PF savings are an important financial resource that I need to meet my essential living expenses during this difficult period.

I am not asking for any special treatment or an exception to the applicable PF rules. I am requesting only that my claim be processed correctly, that any rejection be supported by a clear and specific reason, and that I be provided with appropriate guidance to complete the process.

The repeated referrals between HCL and EPFO, the absence of a clear explanation, and the lack of responses to my follow-up emails have left me without a meaningful way forward.

My requests for immediate action

I request the HCL HR leadership and the concerned PF team to intervene and provide the following:

Written clarification of the claim status: Confirm whether my transfer claim is currently pending with HCL, rejected, or awaiting any specific action from my side.

Specific reason for the earlier rejection: Provide the exact reason and any applicable remarks or rejection details recorded by HCL when the claim was rejected.

Immediate processing of the pending claim: If the current claim is awaiting employer approval, please review and process it without further unnecessary delay, subject to applicable PF rules and verification requirements.

Clear guidance on Annexure X/K: Explain which document is required in my case, why it is required, and how it can be obtained if it is generated only after the relevant processing stage.

A single point of contact: Assign a responsible PF representative who can coordinate with the relevant internal team and EPFO, if necessary, until the issue is resolved.

A definite resolution timeline: Please confirm the next steps and provide a reasonable, specific timeline for completing the employer-side action or communicating the precise outstanding requirement.

Formal escalation and next steps

I have made repeated attempts to resolve this matter through the prescribed channels and have cooperated with the instructions provided. However, the issue remains unresolved, and I cannot continue indefinitely between different departments without a clear explanation or decision.

I therefore request that this email be treated as a formal escalation to HCL HR leadership and the concerned PF administration team.

Please provide a substantive written response within five working days of receipt of this email. If HCL is unable to resolve the matter within that period, I request a written explanation of the specific reason for the delay and the steps being taken to resolve it.

If I do not receive a satisfactory response or a clear resolution plan, I will have to consider escalating the matter through the appropriate EPFO authorities and pursuing other remedies available under applicable law.

I sincerely hope that such escalation will not be necessary and that HCL will take prompt action to resolve this matter fairly and transparently.

I request your urgent attention and support, considering both the prolonged delay and my current financial circumstances.

Thank you. I look forward to your written response.
